- Each pet has a private Voocie email address (like
a3x9k@pets.voocie.com). The owner gives it to you. - CC that address when you email the visit summary. Voocie reads the email and files the record โ exam notes, vaccine dates, lab results, everything.
- There is nothing to install, nothing to learn, and nothing to pay. If you can CC an email, you can use Voocie.
The problem you already know about
Pet owners lose records. They switch vets and arrive empty-handed. They call back six months later asking for the rabies certificate they already received. They show up at the ER with a dog on a medication whose name they can't remember, from a clinic across town that closed at five.
You've seen every version of this. And every version has the same root cause: the records the clinic sent landed in the owner's inbox, got buried, and never made it into anything organized.
Voocie solves this without asking your clinic to change anything except one line in an email.
How it works โ the entire workflow
Here's the complete process from the clinic's side:
- The pet owner gives you an email address. It looks like any other email โ something like
a3x9k@pets.voocie.com. It's private to that pet. The owner creates it for free at voocie.com. - You CC that address on the visit summary. The same email you already send to the client after an appointment. Just add the pet's Voocie address to the CC line.
- There is no step three. Voocie reads what you sent โ exam notes, vaccine records, lab PDFs, prescription summaries โ and files it chronologically in the pet's health record. The owner sees it instantly.
That's it. No portal to set up. No integration with your practice management system. No training for your front desk. No account to create. The pet's record builds itself from the emails your clinic was already going to send.
What your clinic doesn't have to do
- No new software. Voocie doesn't sit on your computers. It sits in your client's inbox โ or more accurately, in their pet's inbox.
- No login or account. The clinic never creates a Voocie account. You're just CCing an email address, the same way you'd CC a spouse or a pet sitter.
- No special formatting. Send the same email, in the same format, from the same system you use now. Voocie reads the content your practice management software already generates.
- No cost. Voocie is free for clinics. Today, next year, always. The pet owner pays for their account if they want Voocie to do extra work โ but the email ingest is free on both sides.
Why this matters for your clients
When a pet owner walks into a new clinic, an emergency vet, or a specialist, the first question is always the same: Do you have the records?
With Voocie, the answer is yes โ because every visit summary you CC'd is already filed. The owner shares a single link, and the receiving vet sees every visit, every vaccine, every lab result, in order. No phone calls back to your clinic. No faxed records. No "I think it was bordetella, but maybe it was DHPP."
Your clients remember this. The clinic that made their life easier is the clinic they recommend.
What about existing clients?
You don't need to go back and retroactively CC old records. The owner can upload their own historical records at any time, or they can simply start fresh โ every visit from today forward builds the record going forward. Most pet owners care more about having a working system than a perfect archive.
If a client does want their full history, they can request records from your clinic the usual way, upload the PDF, and Voocie parses it into their timeline. Nothing changes on your end.
Starting a record for a client
Some clinics go one step further: they start the pet's Voocie record on behalf of the client during the first visit, then hand it over. The owner gets a complete record from day one, already populated with whatever the clinic sent. It takes about two minutes and makes a strong first impression โ especially with new puppy and kitten visits.
This is entirely optional. Most clinics just ask the client if they have a Voocie address, the way you'd ask for an email or phone number at intake.
What Voocie is not
Voocie is not a practice management system. It doesn't replace your EMR, your scheduling, or your billing. It's the other side of the equation: the pet owner's copy of the record, kept current automatically because your clinic CCs one address.
It's also not a portal. Portals require the clinic to adopt a platform, the client to download an app, and both sides to maintain accounts. Voocie works with any clinic that sends email โ which is every clinic.
FAQ
Does Voocie cost the clinic anything?
No. Voocie is free for clinics, always. There is no subscription, no per-record fee, no setup cost. The pet owner's account is $99/year if they want Voocie to actively organize and explain their records โ but the email-ingest pathway costs nothing on either side.
Is the pet's Voocie address the same as the owner's email?
No. Each pet gets its own private address at @pets.voocie.com. The address is randomly generated โ it's not guessable from the pet's name or the owner's name. Only the owner shares it with people they trust, like their vet.
What if the owner doesn't have a Voocie account?
Then there's no address to CC, and your workflow doesn't change at all. Voocie is entirely opt-in on the client's side. You'll know a client uses Voocie when they give you the address โ otherwise, nothing is different.
Can multiple clinics send to the same pet's address?
Yes. The pet's Voocie address works with any clinic, any specialist, any ER. That's the whole point โ every provider CCs the same address, and the pet's complete health story builds itself from every source.
What file types does Voocie accept?
Anything you'd normally attach to an email: PDFs, images of lab results, plain-text visit summaries. Voocie reads the content and files it. Most practice management systems export visit summaries as PDF or formatted email body โ both work.
