If a client doesn't yet have a Voocie record for their pet, your clinic can create one during the visit and hand it over via a claim link. When the owner claims the record, every note, exam finding, and document you added is already there โ they start with a complete first visit, not a blank page.
This is entirely optional for clinics and free to initiate. It's a five-minute addition to the checkout conversation that clients often remember for the life of their pet.
- Your clinic creates a Voocie record for the client's pet, adds the visit notes, and generates a claim link.
- At checkout, give the owner the claim link (or send it by email). They claim the record and it's theirs โ you keep your copy of the visit.
- From that point on, CC the pet's private Voocie address on every future visit summary and the record grows automatically.
Why would a clinic start a record instead of the owner?
Most Voocie records are started by pet owners. But there are situations where a clinic initiating the record makes more sense:
- New patients who haven't heard of Voocie. You can introduce the concept and hand them something tangible โ a record that already has their first visit in it.
- Puppies and kittens at their first visit. The first clinical touchpoint is the logical starting point for a lifelong record. Handing the owner a claim link at the end of that first visit is a memorable moment.
- Rescue pets with incomplete histories. If you did an intake exam and want the owner to have a clean record of the pet's current baseline, starting it yourself ensures the first entry is accurate and complete.
- Clients who ask you to help. Some clients simply prefer to get started with support from someone they trust.
What does the handover look like?
After creating the record and adding the visit notes, your clinic generates a claim link from Voocie. This link is sent to the owner โ by text, email, or printed on the discharge paperwork. When the owner clicks the link, they're walked through creating their Voocie account (if they don't have one) and the record transfers to their ownership. Your clinic retains a copy of the visit as part of its own records.
From that point forward, the owner controls the record. They can add the pet's private Voocie address to their vet contacts and give it to any future provider โ specialist, emergency clinic, new general practitioner โ so the record continues to grow through every future CC your clinic and others send.
Does this replace the standard medical record my clinic keeps?
No. Voocie is the owner's copy of their pet's health story โ not a replacement for your clinic's internal record system. Your practice management system remains your record of care. Voocie gives the owner a lifelong, portable copy that follows their pet across every vet they visit, every move they make, and every provider change over the animal's life.
How long does this take at checkout?
For a clinic familiar with the process, creating a record and generating a claim link typically takes under five minutes. The explanation to the owner โ "this is a free record for your pet that gets updated every time we CC it on your visit summary" โ usually takes another minute. Many clients will save the link on the spot and start exploring the record before they leave the parking lot.
Frequently asked questions
Is there a cost for my clinic to start a record?
No. Creating a record and generating a claim link is free for your clinic. The pet owner will eventually need a Voocie subscription ($99/year, or about $10/month) to access all features, but the record starts free and the owner can explore before subscribing.
What happens to the record if the owner never claims it?
The record remains in Voocie's system until claimed. The claim link doesn't expire immediately โ owners who take a few days to follow up can still claim the record. If a client seems uncertain, the straightforward suggestion is: "Claim it when you get home, it only takes a minute, and your pet's first visit is already there."
Can the owner add the record to a Voocie account they already have?
Yes. If the owner already has a Voocie account (for another pet, for example), claiming a new record adds it to their existing account. They'll have all their pets' records in one place.
Can I start a record for a client who is already a Voocie user?
If the client already has a Voocie record for this pet, you don't need to start a new one โ just ask for the pet's private Voocie address and CC it on future visit summaries. The record they already have is the one that should grow.
Does starting a record commit my clinic to any ongoing relationship with Voocie?
No. There's no contract, no ongoing commitment, and no fee. Starting a record is a single action. Your clinic can choose to do it for every new patient, occasionally, or not at all โ whatever works for your team.
